# Our approach: scoping, onboarding, management and expansion

## Four phases, and we *take the work off your hands*

Gen8 operates as a managed service. We start with scoping, then bring the first use cases live and continue managing and improving them. Each phase has a clear result and a go/no-go decision.

[Book an introductory meeting](<https://gen8.app/en/contact/>)[How scoping works](<https://gen8.app/en/aanpak/processcan-ai-pilot/>)

- Scoping first, then a proposal
- Go/no-go at each phase
- Processing in the EU

## AI applications fail at *predictable* points

A demo convinces, then it turns out no one can take over the work: permissions are wrong, exceptions are more numerous than expected, or no one is assigned to approve. And as soon as a process or system changes, an unmanaged workflow becomes outdated.

That is why we work in four phases with a go/no-go decision between them, and stay involved after launch. You decide at each phase; we make sure it works and keeps working.

What you get at each phase

- A clear result you can assess yourself
- The decision points, with the name of the person making each decision
- An assessment of value delivered and effort required
- An explicit go or no-go for the next phase

## From scoping to a workflow that *keeps working*

1. Around 3 daysScopingWe map and prioritise your goals: which processes take most time now, where the value lies and where to begin. For each goal, we record the intended result, the boundary, how we measure it and what counts as success.
2. OnboardingWe connect the systems needed, such as CRM, ERP, finance, telephony and email. We record your organisation's context: offering, working methods, agreements and who decides what. We then bring the first use cases live, with approval where required.
3. Management and iterationWe monitor and maintain the workflows and adjust them based on what happens in practice. We introduce changes in manageable steps. As your process changes, AI grows with it and we safeguard quality.
4. ExpansionOnce the foundation is in place, we keep building: new integrations, workflows and agents. We reuse what is reusable and configure separately what differs between teams.

↻ each phase ends with a go or no-go

## Why one AI application stalls and another does not

### A pilot that never moves on

Works on carefully selected examples, runs alongside real work and has no owner. No one knows who approves, and no one adjusts it when the process changes.

### A workflow that keeps working

Runs on last month's real cases, writes nothing without approval and has a manager from day one: us. When the process changes, we adjust the workflow.

## What we never do at any phase

Apart from scoping, we do not quote a timeline before we know your goals and systems. We do not launch a workflow that writes to your systems without approval when consequences are significant. And if fixed rules work better and cost less, we do not build the process with AI; we say so.

We do not publish customer results without their permission. Figures on this site have been approved for release or do not appear.

## What we need from your side

### A process owner

Someone who knows the daily work and can say how it should be done. Without that person, we build on an assumption.

### Access with the right permissions

An administrator who can authorise integrations and permissions. A workflow must never see more than the person it acts for.

### A decision-maker

Someone who gives a go or no-go at each phase and determines which actions continue to require approval.

## Frequently asked questions about our approach

How long does a phase take?

Scoping takes around three days. We give a timeline for onboarding and later phases after scoping, once we know your goals and systems.

Can we start with scoping without committing to more?

Yes. Scoping has its own result: prioritised goals, each with an intended outcome and boundary. You then decide whether and how to continue.

What happens if something turns out not to work after onboarding?

We adjust it or stop at the go/no-go point. You keep what has been documented and know why it is not a fit.

Who manages workflows after launch?

We do. Gen8 operates as a managed service: we monitor, maintain and adjust. We agree resource ownership, access and a workable exit upfront, so you are never locked in.

Does our team need to learn to build?

No. Your team learns to work with it and knows where approval is needed. We handle setup, integrations and upkeep.
