# Reusable AI workflows without client data

A workflow you can set up again for a second client is different from a copy of the first. What you reuse is the form: the steps, instruction and review points. Never the data.

## Two things that look alike

“We will use this workflow for the next client too” can mean two very different things. In one case, you recreate the same structure in that client's environment, filled with their own data and connections. In the other, you take an existing setup including everything it contained. The first is reusability. The second is a scheduled data breach.

The difference is not about taking care while copying. It is about what you consider “the workflow” in the first place.

## What you reuse

- **The steps.** Which signal starts the workflow, what is read, what is proposed, who approves.
- **The instruction.** The text describing what should happen, including rules for uncertain cases and the route back to a person.
- **The choice of tools.** Which types of systems are read and written, and with what control level per step.
- **The exception list.** The most valuable component, and the one most often left behind: cases you learned from the previous client would go wrong.

## What stays within each organization

- **System access.** Each organization connects its own systems under its own management. A connection does not move with the workflow; a new client authorizes again, visibly and revocably.
- **The data itself.** Documents, emails, CRM records, transcripts and everything derived from them stay in the organization they came from.
- **Examples in the instruction.** This is where it usually goes wrong. An instruction saying “for example, as with client X” carries client information in text nobody considers a data container anymore. Make examples fictional or describe the pattern instead of the case.
- **Names in rules.** A rule such as “always escalate emails from these three contacts” belongs in one organization's configuration, not the reusable form.

## The setup that enforces this

Reusability becomes reliable when the separation is structural rather than procedural. On the Gen8 platform, an organization builds *templates*: the instruction, tools and model settings together. Users execute such a template as a session within their own environment, and system connections are configured per organization. What you transfer is therefore the template and its documentation — not a running environment with content.

If you still want to share something from an earlier implementation, such as an example answer that worked well, treat it as a publication: someone reads it, removes identifying details and records that this was done.

## The rule of thumb

Can you describe the workflow without naming a single client, real email or existing record? Then what remains is reusable. If you cannot, client information is embedded in the form itself, and the first step is to remove it — not speed up copying.

## What to do with this

Take the workflow you set up again most often and read the instruction line by line with one question: does it contain anything true only for that one client? Move what you find into configuration; what remains is your template. For those doing this professionally, the builder's perspective is under [builders](<https://gen8.app/en/bouwers/>); the separation of data and permissions is under [security and data](<https://gen8.app/en/veiligheid-en-data/>).

## Frequently asked questions

May I reuse an instruction containing a real client example if the client agrees?

Then it is a deliberate choice rather than an accident, which is the distinction that matters. Record permission, name who gave it, and limit the example to what is needed to explain the rule.

How do I prevent the exception list from being lost in a second implementation?

Treat it as part of the workflow rather than project notes. Exceptions belong in the same documentation as the steps, with what went wrong and how the workflow now handles each exception.
