# Connecting Gmail to Jira

## From an email to a Jira task someone has approved

Not every email is work, and not all work belongs in Jira. This workflow assesses incoming email, proposes which messages deserve a task, and creates that task only after a person approves the proposal.

**Control:** human approval
**Systems:** Gmail, Jira

## From signal to proposal

The workflow reads new messages in an agreed mailbox or label. For each one, it assesses whether it concerns work that belongs on the project board: a bug, a request or a change. For those messages, it proposes a Jira task with a title, summary, priority and reference to the original email.

The proposal appears for the mailbox owner, who approves, edits or rejects. Only then is the task created in Jira and, if you want, a draft reply to the sender is prepared in Gmail for you to send.

## Step by step

1. SignalA new message in the mailbox or under the label you have designated.
2. AssessIs this work for the project board? If so: which project, type and priority? When uncertain, the message is flagged for review rather than guessed.
3. ProposalA draft task with a title, summary, priority and email link, optionally accompanied by a draft reply to the sender.
4. ApprovalThe owner approves, edits or rejects. Rejected proposals remain in the log.
5. ExecutionThe task is created in Jira; the draft reply is ready in Gmail and is not sent automatically.

## Where it stops

The workflow does not email on your behalf or create a task without approval. It only reads the mailbox or label you have designated, not your whole archive. Attachments are not interpreted independently unless you configure that separately. And it does not prioritize above your rules: if there is a conflict, the rule wins, not the model.

## What we can demonstrate

This workflow reaches [Jira](<https://gen8.app/en/integraties/jira/>) through an MCP server rather than Gen8's own integration. [Gmail](<https://gen8.app/en/integraties/gmail/>) drafts do use its own integration. If you want the same structure with Outlook mail, that email side also has its own integration: see [Microsoft 365](<https://gen8.app/en/integraties/microsoft-365/>). The practical meaning of an MCP route is explained in [MCP, API and custom development](<https://gen8.app/en/integraties/mcp-api-maatwerk/>).

## Frequently asked questions

Can the workflow update tasks instead of creating them?

That requires a separate setup with its own approval step, because it affects other people's existing work. Discuss it during the process conversation.

What happens to email that is not work?

Nothing. The workflow only flags messages for which it proposes a task; it leaves the rest alone.

Does this work with Outlook too?

The structure is the same; the email route differs. Check the Microsoft 365 integrations.

## Bring one process.

Together we assess whether this workflow fits your situation, the management its route requires and where people must keep making decisions.
