# Preparing a quote from intake details

## From intake to a draft that already looks like your quote

Preparing a quote rarely involves new thinking: it means translating the intake into the blocks, rates and terms you already use. This workflow makes that translation and delivers a draft for the salesperson to review. The difference is the hours no longer spent on formatting and retyping.

**Route:** custom development
**Control:** human approval
**Systems:** Form or email, document storage

## From signal to proposal

The workflow starts with the intake: a completed form, a conversation report or an email with the customer's request. It extracts the information a quote needs: the service, scope, deadline, special requirements and conditions mentioned. If something essential is missing, it comes back as an open question rather than being filled in with an assumption.

The draft quote is then assembled from your own text blocks, rates and terms. It goes to the salesperson, who adds to it, corrects it and decides what is actually sent. The workflow never sends a quote to a customer on its own.

## Step by step

1. IntakeA form, conversation report or email with the customer's request, from a source you have designated.
2. ExtractService, scope, deadline and special requirements. Anything missing comes back as an open question.
3. BuildThe draft is assembled from your own text blocks, rates and terms, rather than freely invented text.
4. ReviewThe salesperson adds information, corrects the scope and decides whether the draft is ready to send.
5. SendThe salesperson sends it. The workflow records which version was approved and what it was based on.

## Where it stops

The workflow sends no quotes and makes no commitments to a customer. It invents no rates: anything missing from your price list is flagged as an open point. It does not independently depart from your standard terms, even if the customer requested it; such a departure always requires a human decision. It does not set discounts either. And it does not assess whether a project is feasible.

## What we can demonstrate

This workflow is configured for each organization: the quote structure, text blocks, rate table and document destination differ from company to company. That is why this route is marked as custom development rather than an existing integration. The cost of that setup and what it depends on are explained under [pricing](<https://gen8.app/en/prijzen/>).

## Frequently asked questions

Does the workflow invent prices when none are known?

No. Anything missing from your price list goes back to the salesperson as an open point. An invented rate in a quote costs more than an empty line.

Can the draft go straight to the customer?

Only after a person has approved it and sends it themselves. The workflow has no permission to send to customers.

Where is the document stored?

In the document storage and folder structure you designate, so versions stay findable where you already look for them.

Does this work for complex quotes too?

It works best for quotes made up of recognizable blocks. The more actual calculation or negotiation involved, the more the salesperson does themselves.

## Bring one process.

Together we assess whether this workflow fits your situation, the management its route requires and where people must keep making decisions.
