# Executive search and recruitment agencies

## Many conversations, many files, one decision that stays with people

In executive search and recruitment, most time goes on keeping up: processing conversations with clients and candidates, completing files and calling people back in time. That is where a workflow makes a difference, while keeping away from assessing people.

## What defines this sector

An agency has two sides centred on conversations: **clients**, won and retained through good follow-up, and **candidates**, carefully guided. Agreements from conversations must reach a file, calendar and follow-up. The value lies in contact; the administration around it consumes hours.

This domain also has the strictest rules. It involves personal data of people who are not customers themselves, with access and deletion rights, and decisions affecting work and income. Automation deciding independently is a legal and moral question, not just efficiency.

The boundary is therefore sharper here: prepare, record and remind, but do not judge people.

## Suitable processes

### Follow up clients

Register client requests, prepare the conversation and stage follow-up in the CRM. See [sales follow-up](<https://gen8.app/en/mogelijkheden/salesopvolging/>).

### Conversation to report and follow-up

An intake or evaluation becomes a report with agreements, owners and dates, prepared for approval by the interviewer. See [meeting to action items](<https://gen8.app/en/mogelijkheden/meeting-naar-actiepunten/>).

### Keep files complete

Flag missing documents or approvals and propose a draft request, so no one waits for a document nobody requested. See [monitor, notify and follow up](<https://gen8.app/en/mogelijkheden/monitoring-en-melden/>).

### Questions from candidates and clients

Link incoming questions to the right file and propose a draft answer based on recorded agreements. See [inbox triage with human approval](<https://gen8.app/en/mogelijkheden/inbox-triage/>).

### Prepare a job description

Turn an intake conversation into a draft describing the role in the client's words — a draft, never a publication. See [maintaining website content](<https://gen8.app/en/mogelijkheden/website-content-onderhouden/>).

## Where the limits lie

No automated selection. A workflow does not rank candidates, give suitability scores or send rejections. People make decisions about people, with reasoning they can defend.

No inferring attributes not stated in a CV or conversation. No use of candidate data outside the purpose for which it was provided, and retention periods remain decisive — a workflow keeps nothing longer than the source system allows.

## Frequently asked questions

Can we have CVs assessed automatically?

We do not do that. A workflow can organise a file and flag missing information, but ranking or rejecting candidates is human work, and currently also the highest legal-risk use of AI.

Can a workflow access candidates' personal data?

Only within the permissions of the user it acts for, for the purpose for which data was provided, and with logging. We record precisely what is allowed for each engagement with your data protection officer.

What happens to a conversation recording or transcript?

It follows your own agreements with the person concerned and the source system's retention period. We do not add a second storage location outside that policy.

## Does this sound like your organisation?

Bring one process. We assess suitability, risk and expected value, and tell you if it is not a good fit.
