Follow up stalled deals with a proposed next step

Capability · route: configured

Follow-up that watches your pipeline without cluttering your CRM

The biggest concern with automatic sales follow-up is not too little happening, but too much: fields changing themselves, emails with the wrong tone, records nobody trusts anymore. This workflow flags and proposes. It writes data only after the deal owner has approved it.

What happens

From signal to proposal

The workflow periodically reviews open deals in your pipeline. For each deal, it assesses how long there has been no contact, whether the agreed next step happened, and whether the deal has stayed in the same stage longer than is normal for you. It uses your rules: your timeframes, your stages and your definition of inactivity.

For every deal that stands out, it proposes a concrete next step: a draft email, a scheduled call, an adjusted follow-up date or a proposal to close the deal because nothing is happening. The account manager decides on each proposal. Only then is the CRM updated, with the source of the decision included.

How it works

Step by step

  1. Scan

All open deals are periodically checked against your timeframes and stages. This is read only.

  2. Flag

Which deals have stalled, lack a next step or stay in the same stage too long?

  3. Proposal

A concrete step for each deal: a draft email, a scheduled call, a new date or a proposal to close it.

  4. Approval

The deal owner decides on each proposal. Rejected proposals remain in the log with the reason.

  5. Record

Only approved steps are recorded in the CRM. A person sends any draft email.

Limits

Where it stops

The workflow does not email on behalf of a salesperson or call anyone. It changes no deal amounts, probabilities or stages without case-by-case approval, and never closes a deal itself. It deletes nothing. It does not approach customers outside the list you have authorized, and does not create new contacts based on a hunch. If your follow-up rule differs from the model's proposal, the rule wins.

Evidence

What we can demonstrate

The platform has its own integrations for HubSpot and Pipedrive. The definition of inactivity is configured per organization: after how many days a deal stands out, which stages have their own timeframe, and who reviews proposals. Why we avoid uncontrolled writes here is explained in sales follow-up without CRM writes.

Frequently asked questions

Can the workflow email customers itself?

No. It prepares a draft; a person sends it. That is a deliberate choice, not a limitation we will quietly remove later.

What if a salesperson ignores the proposals?

Then nothing happens, and that is visible in the log. A proposal left unattended is itself a signal.

How do we keep the CRM from filling up with notes?

Only approved steps are recorded. Rejected proposals stay in the log, not in the CRM.

Does this work with another CRM too?

The detection step is the same; only the write step differs. Check the integrations for the route that applies to your CRM.
