Answers from your own documents, with the source included
Most internal questions have already been answered somewhere in a document nobody can find anymore. This workflow lets staff ask in everyday language and answers from your own documents, always with the source included. It only reads; it changes nothing.
- Scoping first, then a proposal
- EU hosting
- You stay in control

What happens
From signal to proposal
A staff member asks a question. The workflow searches authorized folders and sites for the passages containing the answer and uses them to formulate a few lines. Every answer identifies its document and passage, so the reader can check for themselves instead of having to trust the answer.
The staff member's permissions apply fully: anyone unable to see a document receives no answer from it either. If no source is found, the workflow says it does not know rather than inventing something. Documents dated far in the past are flagged as potentially outdated.
If the documents are not ready to query yet, documents to knowledge comes first. The underlying choices are covered in an internal knowledge base with AI.
Question
A staff member asks in everyday language, without needing to know which folder contains the answer.
Search
The search covers authorized folders and sites, within the questioner's permissions.
Answer
A short answer with the document and passage it is based on.
Verify
The reader clicks through to the source. Old material is flagged as potentially outdated.
No source
If nothing is found, the answer is that it is not there. That is useful information.
Limits
Where it stops
This workflow only reads. It does not edit, move or delete documents or create new versions. It does not bypass permissions: if you cannot see a folder, it will not use that folder in your answer. It does not answer questions without a source or give policy advice. Nor does it copy your documents to another environment: the source stays where it is.
Evidence
What we can demonstrate
The platform has its own integrations for SharePoint and Google Drive, including respect for existing permissions. Processing takes place in the EU and every step is logged. Which folders, sites and document types are included is configured per organization; see documents and knowledge.
Does everyone see the same answers?
No. Answers follow the questioner's permissions, so two staff members may receive different answers to the same question.
What if the document found is outdated?
That is noted based on its date. The workflow does not independently know whether something is still policy.
Are our documents copied?
The source stays where it is. It is read and referenced, not moved or duplicated into another environment.
What if there is no answer in the documents?
The workflow says so. No answer is better than an invented answer in a convincing tone.
