Compiling management reports

Capability · route: custom development

Every number in the report knows where it came from

Management reporting rarely takes time because of the thinking. Time goes into retrieving figures from four systems, pasting them into a template and investigating why two sources disagree. This workflow collects and writes; judgment remains yours.

What happens

From signal to proposal

At a fixed time, the workflow retrieves figures from your designated sources using your reporting periods. It places them beside the previous period and your budget or target, and writes a draft report in the structure your regular readers know.

Every number identifies its source system and retrieval time. Differences between sources are named rather than brushed away, so you see two systems disagree instead of a winner being quietly selected. The draft goes to the reviewer and only then to readers.

For a weekly operational picture rather than periodic reporting, see the weekly operations report. The choice between this approach and a BI dashboard is explored in reporting: AI or BI.

How it works

Step by step

  1. Retrieve

Figures from the designated sources for your reporting period. Read only, never write.

  2. Side by side

This period beside the previous one and your target, so deviations become visible without calculation.

  3. Write

A draft report in your usual structure, with the source and retrieval time for every number.

  4. Differences

Where sources contradict each other, this is explicitly noted. No silent choice is made.

  5. Review

You review, interpret and send. The workflow sends nothing to readers.

Limits

Where it stops

The workflow writes nothing back to your source systems; it only reads. It does not correct source data or fill missing periods with estimates: missing information is marked as missing in the report. It draws no conclusions about people or teams and makes no judgments about performance. It does not send the report itself. And if a source is late supplying data, it waits rather than calculating with old figures.

Evidence

What we can demonstrate

This workflow is configured per organization: which sources are included, how periods are defined and which definition of revenue, margin or capacity utilization is used differ by company. That is why the route is custom development. Some source systems have their own integrations in the platform; which apply to you depends on your systems.

Frequently asked questions

What happens if two systems give different numbers?

The difference is reported with both figures and their sources. The workflow does not choose one itself or hide the difference.

Can the report go to readers automatically?

That is a separate choice and outside this setup. Sending an unread report introduces risk for little benefit.

Does this also work for weekly reporting?

Yes. For a weekly operational picture, the weekly report variant often fits better because it focuses on lead times and backlogs.

Is this the same as a BI dashboard?

No. A dashboard displays figures continuously; this workflow periodically writes a readable narrative around them with source references.
