Meeting information into the CRM

Capability · route: configured

What was agreed in the conversation ends up in the CRM

After a customer conversation, the account manager knows exactly what was agreed. Two days later, the CRM holds a four-word line, or nothing. This workflow turns the meeting report into a draft note and a proposed next step on the right record, which the account manager only has to review.

What happens

From signal to proposal

The workflow reads the report of a customer conversation and picks out what the CRM needs: which organization you spoke with, where things stand, which objection was raised, what was promised and when the next step is. From that it composes a note in the structure your team uses, plus a follow-up task with a date.

The proposal goes to the account manager, linked to the record the workflow thinks it belongs to. They review, correct and approve it. Only then is it recorded in HubSpot, with a reference to the conversation. If the workflow is unsure which record it belongs to, it does not guess but asks.

If it concerns an internal meeting with no CRM record, choose from meeting to action items; if the actions need to be on a project board, meeting actions to ClickUp is the variant.

How it works

Step by step

  1. Conversation

A customer conversation that has been recorded and transcribed, within the agreements you have made with the customer.

  2. Match

Which organization, contact person and deal does this belong to? Without a clear match, it is put to you as a question.

  3. Proposal

A draft note in your standard structure, plus a follow-up task with an owner and a date.

  4. Approval

The account manager reviews and corrects. Whatever they strike out remains visible in the log.

  5. Record

After approval, the note goes into the CRM on the right record, with a reference to the conversation.

Limits

Where it stops

The workflow does not change deal amounts, probabilities or stages unless a person has approved it case by case. It does not write a verbatim transcript to the CRM: only the summary you have agreed on, so sensitive parts of a conversation do not end up unnoticed in a shared system. It does not record by itself and does not arrange consent; you do that with the customer. And it does not assess people, only agreements.

Evidence

What we can demonstrate

Both Fireflies and HubSpot have their own integrations in the platform. What is configured per organization is the translation between them: which fields you fill, which note structure you use, and when a follow-up task is a matter of course and when it is not. The integration itself is described at meeting to CRM.

Frequently asked questions

Does the whole transcript go into the CRM?

No. Only the summary and the fields you have agreed on beforehand. The full report stays in the meeting tool.

What if the workflow picks the wrong record?

Then the account manager corrects it in the approval step, before anything is written. When there is real doubt, the workflow does not choose a record itself.

Does this also work for internal meetings?

The action items variant is more suitable there, because there is no CRM record to match.

Is this allowed with a customer conversation?

You agree on recording and processing with the customer. Processing takes place in the EU and every step is in the log.
