Gmail integration

Integration · route: native

Read one mailbox, prepare replies, never send

The mailbox is where work arrives for most organizations. Gen8 has its own Gmail integration, allowing a workflow to read and organize messages and prepare draft replies. It does not send — that is a principle, not a setting waiting to be enabled.

Capabilities

What the integration can do

Within your designated mailbox, label or folder:

  • Search messages by sender, subject, period or content
  • Read a message and its conversation
  • Label — add or remove labels to organize messages or pass them to the next step
  • Manage messages, for example archive or mark them according to your agreements
  • Prepare a draft with a proposed reply in the mailbox where you can see it

Deleting messages is outside our setup: an incorrectly discarded email is exactly the kind of mistake nobody reverses.

Inspiration

What you can automate with this

A few examples of work you can hand over through this integration. We work out what fits your organisation together during scoping.

Sort incoming email

Messages under the designated label receive a label routing them to the right step or colleague.

A reply ready in your mailbox

The proposed reply is a Gmail draft. You review and send it yourself.

The whole conversation included

Before answering, the workflow finds earlier messages by sender, subject or period and reads the entire conversation.

Does this work look familiar? Or does your process run on another system?

Tell us which work you want to hand over. We help you think through the integration and route, even if your system is not listed here yet.

Permissions and data

What access is needed

An administrator connects and defines scope: which mailbox, label or folder. This is the most important setup choice, because email almost always contains more than the workflow concerns — sensitive messages, personnel matters, third-party quotes.

The workflow gets only permissions needed by selected actions. Reading alone needs no modification permissions. Preparing drafts needs permission for that, not for sending. Credentials are stored encrypted. Gen8 processes in the EU; Google processes email in your Workspace environment.

Control

Where approval is required

Reading and labeling within agreed scope happen without intervention; that makes triage useful. Anything outbound becomes a draft: the reply waits in the mailbox and the person sending it reads it first.

We retain that distinction even when draft quality improves over time. A wrongly sent email cannot be recalled and affects someone outside your organization — a different kind of error from an incorrect CRM field. Every step is logged, including drafts that were not sent.

Evidence

What we can demonstrate

Gmail has its own Gen8 integration with separate tools for searching, retrieving messages, managing labels and mailboxes, and creating drafts. Hence the native route. Outlook mail likewise has its own integration: see Microsoft 365. For the broader Google environment, see Google Workspace; for what a workflow does with it, see inbox triage and email to CRM.

Frequently asked questions

Does the workflow read all email?

Only what is within the designated mailbox, label or folder. We define that scope during setup.

Can it send if we want it to?

Technically possible, but not how we configure it. If you want it, someone responsible for the mailbox must make an explicit decision.

What happens with attachments?

They are not automatically opened and interpreted. Document processing is a separate step you deliberately configure.

Does this work with Outlook too?

Yes, with its own integration and the same structure. See Microsoft 365.

Which systems do you use?

Tell us which process you want to connect. We explain which route fits, which permissions are needed and where people keep making decisions.
