Monitoring project progress

Capability · route: configured

See what is stalled before the deadline tells you

A project board tells you what exists, not what is getting stuck. This workflow reads tasks from the projects you designate and turns them into a readable picture: what is stalled, what is off schedule, where work awaits a decision nobody makes. It changes nothing on the board.

What happens

From signal to proposal

The workflow retrieves tasks from the spaces, lists or projects you have designated: status, owner, due date and last change. It then looks at movement rather than counts. A task stuck on 'in progress' for two weeks, a task without an owner, a due date that has passed without a status change, a blocker nobody has addressed.

The result is a short overview per project, written so a project manager can read it without opening the board. It makes no changes: changing statuses or assigning tasks is a separate workflow with its own approval, precisely because it affects other people's work.

How it works

Step by step

  1. Selection

You designate which projects, spaces or boards are included. Anything not designated stays unread.

  2. Read

Status, owner, due date and last change for each task. Read only — nothing is written back.

  3. Flag

Inactivity, overdue dates, missing owners and unresolved blockers surface; the rest stays out of the overview.

  4. Deliver

A short picture of each project, with the task behind every signal, ready for the project manager or weekly meeting.

Limits

Where it stops

The workflow changes no tasks, assigns nobody and moves no dates. It does not judge people either: a standstill is a signal about work, not a colleague, and it is written that way. It cannot see anything missing from the board — agreements made only in conversation remain invisible. And it does not replace a project manager: it presents what stands out; weighing it remains a human task.

Evidence

What we can demonstrate

Gen8 has its own integration for ClickUp, with tools for workspaces, spaces, tasks, checklists, custom fields, time tracking and history. For Jira, Gen8 does not have its own integration: Jira is reached through an MCP server or custom route, configured per environment. A weekly picture based on these signals is described in the weekly operations report.

Frequently asked questions

Can the workflow mark a task as 'blocked' itself?

Not in this form. Writing to the board is a separate setup with its own approval step because it affects other people's work.

Does this work with Jira too?

Yes, but not through Gen8's own integration. Jira uses an MCP server or custom development; check the integrations to see what that means.

Does this replace our weekly stand-up?

No. It supplies the facts that can make that stand-up shorter, so time goes into weighing issues instead of reading statuses aloud.
